Note: This document is written to be POPIA-aware. It does not constitute legal advice, and ClubCo does not claim full POPIA compliance until reviewed by a qualified legal professional. We recommend your club also review its own data handling obligations under POPIA.

1. Who we are

ClubCo is a software-as-a-service product developed and operated by CodeSense Software (Pty) Ltd, a South African company. References to "ClubCo", "we", "us", or "our" in this policy refer to CodeSense Software (Pty) Ltd.

2. Information we collect

We collect personal information in two contexts:

Visitors to this marketing site (clubco.co.za): When you submit a demo request or enquiry form, we collect your name, email address, phone number, club name, and any information you voluntarily include in your message. We also collect limited technical information (browser type, page visited, referral source) for analytics purposes.

ClubCo customers and their members (app.clubco.co.za): When a sports club uses ClubCo to manage their membership, we process personal data on behalf of that club. The club is the responsible party under POPIA for its members' data; ClubCo acts as an operator. See the Data Processing Agreement in your customer contract for details.

3. How we use your information

  • To respond to your demo request or enquiry
  • To provide and improve the ClubCo platform
  • To send product updates and communications, where you have consented
  • To comply with our legal obligations

We do not sell, rent, or trade personal information to third parties for marketing purposes.

4. Data storage and security

Personal data collected through this website and the ClubCo platform is stored on servers located in South Africa. We implement appropriate technical and organisational measures to protect personal information against unauthorised access, loss, or disclosure.

5. Your rights under POPIA

As a data subject under the Protection of Personal Information Act (POPIA), you have the right to:

  • Request access to personal information we hold about you
  • Request correction of inaccurate personal information
  • Request deletion of your personal information, subject to our legal record-keeping obligations
  • Object to the processing of your personal information
  • Withdraw consent where processing is based on consent

6. Cookies

This marketing site uses no tracking cookies by default. If Google Analytics or similar is enabled, we will update this section and display a consent notice. The ClubCo application may use session cookies essential to its operation.

7. Children's data

If your club manages data of children under the age of 18 through ClubCo, your club (as the responsible party) must ensure that appropriate guardian consent has been obtained. ClubCo provides consent tracking features to assist with this.
